What personal information we collect when you buy from us or ask us for a quote, why we hold it, who we share it with, how long we keep it and what you can ask us to do with it.

Who is responsible for your information
iDealz Media UK Limited, of Unit G, Acorn Centre, 29 Roebuck Road, Hainault, IG6 3TU, is the data controller for the personal information described in this policy. That means we decide what is collected and why, and we are responsible for looking after it.

What we collect
We collect only what we need to sell, deliver and support the equipment we supply. Depending on how you deal with us, that may include:
- Who you are — your name, business name, email address and phone number.
- Where the goods go — delivery address and postcode, billing address, and any access notes you give us.
- What you bought or asked about — order and quotation history, sizes and options chosen, and what you told us about your site.
- Proof of delivery — a photograph of the goods at the delivery point and a signature, captured by our driver on delivery.
- Correspondence — emails, notes of phone calls, and messages you send us, including through WhatsApp.
- Technical information — your IP address and basic request information, recorded in our server logs, and information about the device and browser you used.
We do not collect or store card numbers. Card payments are handled entirely by Stripe on Stripe's own systems. We receive confirmation that a payment succeeded, the last four digits and the card type — never the full number and never the security code.
We do not ask for special category data (such as health information) and you should not send it to us.
Why we use it, and our lawful basis
Under UK data protection law we must have a lawful basis for using your information. Ours are:
- To perform our contract with you — taking and fulfilling your order, arranging delivery or installation, handling returns, warranty and support, and answering your questions.
- To comply with a legal obligation — keeping VAT and accounting records, and meeting our obligations as an importer and supplier of electrical equipment.
- For our legitimate interests — responding to a quote enquiry before there is a contract, keeping proof that goods were delivered, preventing fraud, securing our website, and keeping records to defend a claim. We have considered your rights in each case and use the minimum information needed.
- With your consent — if you ask us to send you marketing. You can withdraw consent at any time, and every marketing email has an unsubscribe link.
We do not use your information for automated decision-making or profiling.
Proof of delivery photographs
When we deliver on our own vehicle, our driver records a photograph of the goods at the delivery point and captures a signature. This is the only evidence we have that a delivery happened, and it is what answers a payment dispute months later — so we keep it with the order record.
Drivers are instructed to photograph the goods, not people. If a photograph has captured something you would rather it did not, tell us and we will look at it.
Where your information is held
Our website and customer records are hosted in the United Kingdom.
Some of the providers we use — for card payments and email in particular — may process information outside the UK. Where that happens we rely on the safeguards UK data protection law requires, such as an adequacy decision covering the destination country or standard contractual clauses with the provider.
How long we keep it
- Order records, invoices and proof of delivery — six years after the end of the tax year the order falls in. HMRC requires six years for VAT, and it is also the period in which a contract claim can be brought.
- Quotation enquiries that did not become orders — two years, then deleted.
- Correspondence — with the order it relates to, or two years if it relates to none.
- Marketing contacts — until you unsubscribe, and then only a record that you asked us to stop.
- Website server logs — a short rolling period, for security and fault diagnosis.
You do not need an account to buy from us, and you can ask us to close one at any time.
Your rights
You have the right to:
- ask for a copy of the personal information we hold about you;
- have inaccurate information corrected;
- ask us to delete information we no longer need;
- ask us to restrict how we use it, or object to us using it on the basis of our legitimate interests;
- ask us to send certain information to you or another provider in a machine-readable format;
- withdraw consent to marketing at any time.
Some of these rights have limits — we cannot delete an invoice we are legally required to keep, for example. We will always explain what we can and cannot do.
Email info@idealwarren.com to make a request. We will respond within one month, and there is no charge. We may ask you to confirm who you are first.
If you are unhappy with how we have handled your information, please tell us so we can put it right. You also have the right to complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
Changes to this policy
We may update this policy. The date it took effect is shown at the top of the page. If we make a change that materially affects how we use information we already hold about you, we will tell you directly.
